» Administration is possible (even for youth workers)

Dealing with the paper

  • The Bin
  • Refer pile – pass on
  • Act –
    • Get a notebook
    • Write things down – make a list
    • Tick off as you do things – great feeling!
  • Differing goals in ministry.

Files/filing

  • Doesn’t have to be elaborate!
  • Manilla folders My blue sel file.

Events

  • Volunteers on board (wide range, visionary AND practical eg recently retired people photocopying etc)
  • Plan a meeting and nominate a reliable note taker (secretary)
  • Ensure notes are produced with Action Column
  • Brainstorm – not random – have an agenda to prompt discussion
Eg Activites, Speaker, Band, Budget, Venue, Helpers
  • Delegate people to do the research – don’t do it all yourself – it won’t get done
  • Set a date for next meeting for reporting back – don’t leave it too long – people will forget!
  • Delegate but follow-up (nicely)
  • Make clear decisions – Draw up a ‘To do’ and Get going
  • The earlier you get started the more likely you’ll get your first choices
  • Book things or people by phone first, then follow-up with a letter.

Reporting

  • Concise reports
  • Under clear sub headings
  • Include difficulties – be honest
  • Action required by YOU, by line manager.

Some Hints

  • Make telephone calls between 9 – 10.30 and 6-6.45
  • Don’t put things on the long finger (Don’t put off to tomorrow what you can do today!)
  • Write things down – not on scraps of post-its – in trusty notebook
  • If feeling stressed, Be like Monica out of friends!!! make lists – often stressed not because of what you have to do but in case you forget.
